What Happens After You Purchase a Fidelity Bond?

Distinguish a transaction from an issued contract

An application, quote, payment receipt, binder, certificate, declarations page, and complete policy or bond serve different functions. Determine which document evidences the insurer’s commitment, the effective period, and the complete terms. The answer depends on the transaction and insurer documentation.

Do not infer coverage from a checkout confirmation alone. Verify issuance with the responsible producer or insurer, and retain written communications about any conditions still outstanding. Actual contract wording and endorsements control.

Reconcile the issued documents

Compare the legal name, mailing address, covered location or organization, limit, deductible, dates, form edition, covered people, management-company treatment, and endorsements against the approved request. Also review cancellation, reporting, discovery, notice, and claim provisions.

Send a concise discrepancy list through the designated channel and keep the response. Confirm when each correction takes effect.

Distribute evidence and protect the master file

Provide a certificate, memorandum, or declarations page only when appropriate, while preserving the complete issued contract as the master record. Some recipients may need a particular evidence form, but summaries do not rewrite the contract.

Limit access to sensitive applications and financial attachments. Keep an indexed file with the application, proposal, authorization, payment evidence, issued forms, endorsements, correspondence, and later changes. Follow applicable records laws and the association’s retention policy.

Start monitoring on day one

Calendar expiration, notice periods, reporting deadlines, installment dates, and an advance review date. Assign owners for monitoring mail and electronic notices so personnel turnover does not strand critical communications.

Trigger an interim review when assessments, reserves, signers, management arrangements, banking access, or governing requirements change. Renewal is not the only time a material discrepancy can arise.
